Help us keep your costs down! Hotels in the AOA housing package hold a large quantity of rooms off the general market for our exclusive use. Booking your room through the Housing Bureau helps the AOA avoid low-performance penalties that ultimately increase our expenses.
The AOA selects conference sites and finalizes contracts with hotels and facilities years in advance. The AOA must achieve our minimum requirements to avoid penalties. By avoiding these additional costs, we are able to keep your fees down.

Here’s how it works!
- Housing requests for new reservations must be received at the Housing Bureau no later than May 28, 2010. Do not send housing forms with your conference registration.
- To ensure your request is handled quickly and efficiently, please print or type all requested information clearly.
- No telephone reservations will be accepted. For customer service assistance or questions regarding this form, call 866-229-3691. E-mail confirmations will be sent within 24 hours; fax or mail confirmations will be sent within seven business days.
- Hotels will not be sending individual confirmations — you will be able to use your housing bureau acknowledgment upon checkin as proof of your reservation(s).
- Rooms requested via the paper form are assigned on a first-come, first-served basis. If rooms are no longer available at your first choice hotel, you will be placed in the next available hotel.
- Aside from AOA's cancellation fees, all room reservations require a credit card. If you cancel after the cancellation deadlines or fail to show up on your expected arrival date, your card will be charged. Some hotels may require one night’s deposit; the deposit may be charged to your credit card when the reservation is processed/received by the hotel.
- If you are sharing a room, send only one form with the names, phone, and fax of those sharing your room, including children. Include the earliest arrival date and latest departure date.
- One name must be submitted for each room requested. Multiple rooms may not be held under a single name. Rooms submitted under a school or company name will not be accepted.
- All changes to your reservation must be made by May 28, 2010. Date changes will be made on a space-available basis. Name, address, date, special requests, and roommates may be changed online; or you can make any changes via fax, mail, or e-mail to the Optometry’s Meeting® Housing Bureau at aoa/aosa@experient-inc.com.
- IMPORTANT: Cancellations received by April 30, 2010, will not be charged the AOA cancellation fee. All cancellations received from May 1 - 14, 2010, will be subject to the $75 AOA cancellation fee. Cancellations received between May 15 - 28, 2010, will be subject to the $150 AOA cancellation fee. Cancellations made after May 28, 2010, will be subject to the $250 AOA cancellation fee. Changes and cancellations must be made in writing to the Housing Bureau by May 28, 2010. After May 28, 2010, all changes must be made directly with the hotel and are subject to possible additional fees.
- All charges are subject to state and occupancy tax. Tax rates are subject to change. Some hotels may apply additional surcharges such as the $10 daily resort fee at the Gaylord Palms® Resort & Convention Center. Please verify these charges directly with the hotel upon receipt of your acknowledgment.
